Summary

The Purchasing Promotions Administrative Assistant supports the leadership of the department. The role handles confidential information, processes personnel paperwork and communicates with corporate and regional teams on a regular basis. 

What You’ll Do

  • Distribute mail, invoices and samples  
  • Create and process expenses for team leadership and other staff members as requested 
  • Support with the creation of presentations  
  • Maintain calendar, schedule meetings and make travel arrangements for the department  
  • Communicate with corporate and regional teams on a regular basis 
  • Handle, respond to, and direct incoming correspondence and calls in a timely manner  
  • Arrange meetings and events, including locations, invitations, and other logistics 
  • Prepare and process reports for management 
  • Order and maintain inventory of stationary supplies

What You’ll Need

  • High School Diploma or equivalent  
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) 
  • Preferred German language skills 
  • Analytical skills and attention to detail 
  • Excellent written and verbal communication skills 
  • Ability to quickly learn organization structure and the objectives of the team 
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines 
  • Ability to communicate effectively with a variety of constituent groups such as senior management, peers and outside contracts
